Dear Parents of the Redcliffe Tigers Juniors Under 8- Under 16

I am writing to you to express how important it is to have the below positions filled as we need to send our office bearers list to the AFLBJ for Redcliffe Juniors to be eligible for the 2012 season.

The committee members have put a list of jobs for each of the positions to help with your decision on which position would best suit your qualifications and or capabilities to assist your juniors.

The current committee have already planned and put a lot of things in place ready for the 2012 season so an easy transition can take place.

The juniors are now depending on parents to volunteer their help with the planning and development for their future. If we do not fill the below positions it will mean the Redcliffe Juniors will no longer exist.

I have already accepted the role of Secretary to the Senior Board as that is where my son will be playing with the seniors and as you can see I have moved on to where I can still help volunteer to help with the development of our club at Senior Level.

Parents need to understand that unless we have volunteers at Junior and Senior Level our club WILL NOT exist and that would be very sad, especially to see how far we have come.

We have worked hard over the last 6 years to build great relationships with the AFL Brisbane Juniors, Northern Region Development Team, our Brisbane Clubs, Moreton Bay Council and also our sponsors.

There is a need for a mix of both Junior and Youth parents to be on the Junior Committee to run our Juniors as it is important to have input from both groups to put forward the things that will benefit all players or all age groups.

We have good news that we will have our New Storage Shed up before Sign On for all our equipment and it will be up off the ground so there will be no more flooding problems for our equipment.

The committee volunteers have also been liaising with the council for the new change rooms which plans have been drawn up and these will also be up off the ground to help with future flooding..we are In negotiations as to how soon we can expect this to happen.

As you can see a lot of the hard work has been done or put in place and we just need volunteers to help with the everyday running of our club at both Junior and Senior Level.

Please Volunteer and become a member of the junior committee as there are many opportunities and also life skills that are learnt by being on a committee as well as meeting great people and lifelong friends along the way.

Junior President – Duties

Great Position for anyone who loves footy or not…….just need to be a good communicator

Responsible for the running of Junior Football –

Oversees – Auskick 5-7yro, Junior U8- U11 & Youth U12- U16 Football

NB: Emailing is fast in getting the messages out quickly must ALWAYS consult your committee before sending information, so all are aware of the information being sent out or CC them in on matters they should be aware.

Liaises with the AFLBJ, AFLQ, Northern Region Development Officers, All Brisbane Junior Clubs, Junior Committee and Senior Board of Redcliffe Tigers on all junior matters

Liaises and emails with all coaching staff in relaying rules and regulations from the club and the league so all are well informed

Liaises with Football CO-Ordinators assigned for the season on ALL FOOTBALL Matters only

Attends Meetings as required by the AFLBJ approx 5 times over the season at AFLQ Yeronga Headquarters

Holds Junior Committee meetings for discussions and decision making on all junior matters

Ensures all TASKS and documentation that the league have requested are completed

Delegates jobs to the committee, members, volunteers to ensure smooth running of juniors

Conducts and organizes Coaching appointments for each and every season…..Interview Process…..

Ensures Committee is ready for Sign On……… 2012 –Sat 11th & Sun 12th February

Ensures Photo Day has been booked and all informed ……..Event Photography ……..photo company..

Feeds information of Junior News to the Website Co-ordinator

(Ensures Auskick, Junior and Youth Presentations are organized as per below)

Auskick Presentation – organized on the last day of the program

Junior Presentation – organized on a Friday night 2 weeks after season finish

Youth Presentation – always booked 1 year in advanced around 1st/2nd week October when available to ensure the Function Room

Attend End of Year (2) Day AFLBJ Conference: Normally around end of October

Helps committee with manpower where possible for smooth running during the season and end of season stocktaking and ensuring equipment is ready for the following season

 
Vice President - Duties

To help and assist Junior President and other committee members where possible

 
Junior Treasurer - Duties

November/December

Committee to decide on sign on gift. Organize and Order. Check stock for club shirts/shorts/socks. If need be organize and Order – Shirts – to be ordered through Onya Designs. Shorts and Socks to be ordered through Kombat Pty Ltd.

Sign On – Take registration money, bank, keep a check on team sheets for payments

If sponsorship money comes through for new jerseys, liaise with sponsor and Kombat for logo design and order.

Throughout season keep a check on payments of registrations – send out reminders by email during season for payment on when and where they can be made.

Order equipment when needed – usually decided by Junior Committee.

Check and pay all bills. Can get junior committee to approve payment.

Help with Auskick, Junior and Youth Presentations.

Liaise with Registrar constantly to make certain payments are recorded on team sheets.

When ordering shirts/jackets, sign on gifts, we have built up an excellent relationship over the last 6 years with Lea and Phil from Onya Designs at Kippa Ring. They have been a sponsor the last 4 years of our Youth Football Trophies. They have never let us down and have always looked after us. 

When ordering Jerseys, Shorts, Socks we have over the last 6 years used Kombat. We are only allowed to use one of 4 businesses for purchasing as per the AFLBJ rules. We have had a really good working relationship with Travis from Kombat. He has looked after us and always tries to make certain that we get our orders on time. It usually takes 6 to 8 weeks to have jerseys etc delivered to us from the time all artwork is approved. Our Tigers artwork in already registered with them so we do not have to pay for a set up fee. 


 
Registrar’s - Duties

Collects and records the players details each year

Keeps the player contact details up to date

Keeps the team sheets up to date – adjusting where necessary according to what the coaches work out

Maintains the paper files associated with each player – these will include:  AFL Player registration form, Tigers membership form, personal information release form and parental behaviour acknowledgment

Liaise with other committee members and coaches to keep records up to date

Makes a record of payments received when advised by the treasurer – particularly at the beginning of the season but does continue all season  

Helps committee members with any events or help in any areas where needed.

 
Secretary - Duties

A great position for someone who has only a small amount of time to commit but does want to make a difference for their child’s club.

Approx 2 - 3 hours a week (Secretarial only)

Produce all necessary hard copy or electronically written communication on behalf of the Junior Committee as directed by the President or through Junior Committee Meetings.

Attend all meetings to take and distributes minutes of all Junior Committee Meetings. Depending on the Presidents style this could be once a month or only a few times a season.

Assist with all Committee run events – either preparation, at the event and/or post where possible.

Assist with the organisation of the Junior and Youth Presentation nights – writing invitations, chasing responses, writing congratulatory letters to successful players, assisting with set up and pack up on the night of the event.

Attend sign on days to assist were required – due to the lack of a uniform co ordinator I have organised and manned the uniform sales.

Work with fellow committee members in ensuring enough manpower is in attendance on training nights to assist parents/players, take registration moneys, sell uniforms.

Due to lack of a sponsorship co ordinator – prior to season commencement write to all previous participants for the weekly player awards requesting their support again, collect all donated awards, co ordinate the distribution of these to each team throughout the season, follow up with a thank you after the season (usually in the form of a framed certificate).

Due to the lack of a uniform coordinator worked with the Treasurer and President to ensure stock was available at all training seasons and stock figures were controlled.

Assist with final wind up duties at the end of season and planning for the following season.

Give feed back to all Junior Club decisions and discussions.

Give fellow committee members assistance in their positions were able.

 
Uniform Coordinator - Duties

A great position for someone who has only a small amount of time to commit but does want to make a difference for their child’s club.

Approx 2 - 3 hours a week

Attend Junior Committee meetings to have your input as to the present and future ideas and event organisation. Depending on the Presidents style this could be once a month or only a few times a season.

Ensure enough stock is orders on time for sign on (early Feb) as this is the largest sales day.

Attend sign on weekend to man/oversee the sale of uniforms.

Liaise with the Treasurer re orders and payment of these

Liaise with suppliers

Take and place orders throughout the season as required ensuring availability of uniforms to players throughout the season but not overstocking.

Ensure a supply of uniforms is available at each training day – manned by either yourself or delegate to a reliable assistant

End of season – stocktake all stock and restock as required for the following season.

Liaise with the Junior Committee regarding changes in supplier, design etc.

Assist with all Committee run events where possible– either preparation, at the event and/or post.

Assist with the organisation of the Junior and Youth Presentation nights – writing invitations, chasing responses, writing congratulatory letters to successful players, assisting with set up and pack up on the night of the event.

 
Sponsorship Coordinator - Duties

A great position for someone with very little time to commit but does want to make a difference for their child’s club.

Approx 1 hour a week

Attend Junior Committee meetings to have your input as to the present and future ideas and event organisation. Depending on the Presidents style this could be once a month or only a few times a season.

Once player numbers have been confirmed (Mid/Late Feb) write a letter to all previous weekly player award sponsors thanking them for their previous support and requesting it again. Follow up with a phone call. Collect awards and co ordinate distribution to each team throughout the season.

In previous years each team manager collects that weeks awards each training session – this ensures even distribution and control of $ value awards.

If an award has a large $ value – close monitoring of who is receiving these need to be taken to ensure fair distribution.

If new sponsors need to be canvassed – write a letter of request, follow up with a phone call and interview if required. Put in place sponsorship and ensure all agreed conditions are adhered to.

 Assist with all Committee run events – either preparation, at the event and/or post where possible.

Assist with the organisation of the Junior and Youth Presentation nights – writing invitations, chasing responses, writing congratulatory letters to successful players, assisting with set up and pack up on the night of the event.

End of season – ensure all sponsors are thanked – this could range from invitations to presentation nights, a written letter of thanks and/or a framed certificate delivered.

 
Games Day Coordinator - Duties

A great position for someone with very little time to commit but does want to make a difference for their child’s club.

Approx ½ hour a week

Attend Junior Committee meetings to have your input as to the present and future ideas and event organisation where possible.

Assist with all Committee run events – either preparation, at the event and/or post where possible.

Each Wednesday afternoon log onto the AFL Brisbane Juniors site (Sportspulse) to retrieve the fixture details for all teams (U8 – U16) for the following weekend – date, game time, venue, opposing team.

Between 4.30 – 5pm on a Wednesday night training, place all details on the Game Day Whiteboard outside the players rooms.

Should you be made aware of a change to any details contact the relevant team coaches and manger to ensure all parents and players are made aware.

Junior Website Coordinator - Duties

A great position for someone with very little time to commit but does want to make a difference for their child’s club.

Approx 1 hour a week

Attend Junior Committee meetings to have your input as to the present and future ideas and event organisation where possible.

Assist with all Committee run events – either preparation, at the event and/or post where possible.

Place information, notification, news, photographs on the Redcliffe Tigers Website as directed by the Junior President and Committee.

Update all Coaching, Manager and/or training information as it becomes available or changes.

Liaise with the Senior Website coordinator.

 
Clubroom Cleaner – Duties

Volunteers needed to help with cleaning of change rooms weekly.
